Maintenance technicians skills matrix template.

A maintenance team rarely lacks mechanical skill. It lacks the second person who can read the PLC at 2 a.m., and the night shift ends up calling the one technician who can. The skills matrix makes that phone call visible before it becomes a habit.

This template covers the usual maintenance trades and treats safety qualifications differently from the rest: for lockout/tagout the rule is everyone, not two.

Maintenance technicians skills matrix, Excel

The matrix below, a qualification log with expiry dates and a cross-training plan. Free, no email needed. Opens in Excel, or in Google Sheets through File, Import.

The example it opens on

Maintenance, 6 people. Levels 0 to 4, where only 3 and 4 count as coverage. Training status is the number at level 3 or higher minus the number the station needs.

Skill Tech ATech BTech CTech DTech ETech F Needed Status
Electrical troubleshooting 4 3 1 - 2 - 2 ✓
Mechanical repair 3 3 4 3 2 2 2 +2
PLC diagnostics 3 1 - - - - 2 −1
Hydraulics and pneumatics 3 3 3 2 1 1 2 +1
Lockout/tagout, authorized employee 3 3 3 3 3 2 6 −1
Preventive maintenance routes not critical 3 3 3 3 2 2 2 +2
Robot recovery 3 3 - 1 - - 2 ✓

Two rows read −1. PLC diagnostics: Tech A is the only one who can work through the PLC alone, so night breakdowns with a control fault turn into a call to A. Lockout/tagout: the requirement is six, everyone who services equipment, and Tech F is not yet authorized, so F cannot work alone on anything that needs energy isolation.

What is different in maintenance technicians

Safety qualifications are a gate, not a level

For lockout/tagout, electrical work and confined spaces the question is not how many experts you have, but whether everyone doing the job is authorized. Set the requirement to the whole team and let any gap block the work.

Track the trade and the equipment

Electrical and mechanical rows show the trade; robot recovery or a specific press show the equipment. Keep both kinds, few of each.

Expiry matters more here than anywhere

Electrical safety training and lockout/tagout procedures come with intervals set by the rules. Put them on the Qualification log so the matrix turns red before an auditor does.

Qualifications and expiry

Qualification Interval Source
Lockout/tagout energy control procedures Periodic inspection at least annually; retraining when procedures or equipment change OSHA 29 CFR 1910.147(c)(6) and (c)(7)(iii)
Electrical safety (qualified person) Retraining at intervals not exceeding 3 years NFPA 70E
Powered industrial trucks, if technicians drive them Performance evaluation at least every 3 years OSHA 29 CFR 1910.178(l)(4)(iii)

Rules differ by country and state. Check the ones that apply to your site; the intervals above are the US federal and NFPA baselines.

The template's Qualification log calculates each expiry date and flags anything due within 30 days or overdue.

The cross-training plan

Every gap becomes a dated entry with a trainee and a trainer. In the example:

SkillTraineeLevelTrainerPracticeAssessed by
PLC diagnostics Tech B 1 → 3 Tech A One control fault a week worked by B, A on the phone only 2027-02-26
Lockout/tagout, authorized employee Tech F 2 → 3 Maintenance supervisor Two observed isolations, then the written check 2026-11-13

The method behind it

The levels, the evidence for each one and the coverage rules are explained in the skills matrix guide, with a worked example from an assembly cell. When the matrix has to cover several teams, shifts or sites, see how skills matrix software in TeamGuru counts the gaps the same way for all of them and shows, per skill, who is expired or expiring soon. Comparing tools? Start with the buyer's guide.

Frequently asked questions

What skills should a maintenance skills matrix include?

The trades (electrical, mechanical, hydraulics and pneumatics, controls), the critical equipment that needs its own know-how, preventive maintenance routes, and the safety authorizations such as lockout/tagout and electrical safety.

Why is the lockout/tagout requirement set to the whole team?

Because it is not a coverage question. Everyone who services equipment that needs energy isolation must be authorized, so the requirement is the number of people doing that work. Any gap means someone may not work alone.

How do I track expiring safety training?

Log each qualification with the date it was awarded and how long it is valid. The template's Qualification log calculates the expiry and flags anything due within 30 days or overdue.
