Buyer's guide · checked October 30, 2026
8D report software for manufacturing, compared.
The customer wants containment in 24 hours and the root cause in two weeks. Three 8Ds are open, one waits on a supplier, and the D4 that closes it sits in someone's inbox. Every tool on this page promises to fix that. They differ in what surrounds the 8D, whether the supplier works in it, what the AI does, and whether you can see the price.
Below: when a Word or Excel form is still enough, ten criteria with the question to ask each vendor, eight tools compared from their own public pages, and where TeamGuru fits and where it does not. We make TeamGuru, so read our row with that in mind.
Is a Word or Excel form still enough?
A form is enough when
- A few 8Ds a year, and one quality engineer who writes them all.
- The customer accepts your Word or Excel form, and nobody asks for status between the calls.
- Actions are few, and the same people do them.
Software pays off when
- Several 8Ds are open at once, and you cannot say which discipline is late on which one.
- Suppliers owe you their part of an 8D, and it arrives by email in four versions.
- The same failure comes back, and nobody can find the 8D from last year.
Either way, the method comes first. The 8D report guide covers D0 to D8, escape point analysis and an approver's checklist; the root cause analysis guide covers 5 Why and Ishikawa. Whatever you agree there is what you will configure in any tool.
Ten criteria, and the question to ask
Ask every vendor to run one of your real 8Ds in the demo, with your customer's form and a supplier action, not their sample case.
-
Every discipline has an owner and a date
An 8D is late in one discipline, not as a whole. The tool should show who owes D4 and by when, not just that the report is open.
Ask: Can I set a due date and an owner per discipline, and see which one is late?
-
Approval, discipline by discipline
Containment that nobody checked is not containment. Look for a sign-off per discipline, with who approved it and when.
Ask: Who approves D3 and D7, and where is that recorded?
-
The report your customer wants
Customers have their own 8D forms. The tool should follow that form and produce a PDF you can send, under your own logo.
Ask: Can the report follow my customer's form, and what does the PDF look like?
-
The supplier works in it
Half the 8Ds in a plant are supplier problems. Emailing a form back and forth is where the weeks go.
Ask: Can a supplier fill in their actions themselves, and what do they need to log in?
-
Root cause tools inside the 8D
5 Why and Ishikawa belong in D4, next to the evidence, not in a separate file that gets attached at the end.
Ask: Which root cause tools are built in, and do they stay part of the report?
-
From the alert to the 8D
The 8D usually starts as a quality alert, a complaint or a nonconformance. Retyping it costs the first day.
Ask: Can I start the 8D from the alert or complaint, with the description carried over?
-
Actions that close, and stay closed
Permanent corrective actions need an owner, a date and a check that they worked. D7 should change the standard, not only the 8D.
Ask: How do I verify that an action worked, and where does the fix go into the standard?
-
What the AI actually does
Several tools now draft 8Ds or suggest causes. That can save hours, or produce text nobody checked. Ask what it reads and who decides.
Ask: What does the AI read, what does it suggest, and how do I see where a suggestion came from?
-
Part of a quality system, or on its own
A full QMS adds complaints, audits, PPAP and supplier management. An 8D tool on its own is lighter and faster to start.
Ask: Which of these do I need now, and which would I pay for without using?
-
A price and a timeline you can plan
Most vendors publish no price. Ask for it in writing, and for how long the first 8D takes to run.
Ask: What does it cost for my number of users and suppliers, and how many weeks until we run the first 8D?

Where TeamGuru fits, and where it does not
TeamGuru runs the 8D as one part of the plant's daily system: the quality alert that starts it, the actions that close it, the tier meeting that reviews it and the KPI that shows whether the problem stayed away. It is the right choice when that connection is what you are missing, not when you need a full QMS.
What it does
- Each discipline D1 to D8 has a due date and a status, and the responsible person marks it complete; it is approved or rejected, with who and when in the footer.
- The template is yours: headings, guidance and tables follow your customer's form or your own.
- 5 Why and Ishikawa work inside D4, so the analysis stays part of the report.
- A supplier can own actions: they log in with limited access, fill in their part, and you approve it.
- An 8D starts from a quality alert with the description carried over and both documents linked.
- The report goes out as a PDF under your own logo.
- What the 8D fixed can continue as a project, and the change goes into your documents, PFMEA or control plan in the same system.
What it does not do
- No AI that drafts an 8D or suggests root causes.
- Not a full QMS: no complaint register, PPAP or supplier audit module.
- No built-in VDA or Ford Global 8D format. Your template follows the form your customer asks for.
- 8D comes with the Enterprise and Unlimited plans, not with Group.
Quality alerts and 8D come with the Enterprise and Unlimited plans. See 8D problem solving, quality alerts and root cause analysis, or book a demo on one of your own 8Ds from any page.
How we compared
We picked the tools that come up when quality teams search for 8D software and 8D report templates, read each vendor's own product, pricing and help pages on October 30, 2026, and wrote down only what those pages say. We left out review-site ratings, because we could not read them reliably. Two more names came up: 8Dflow, which was not yet on sale, and Siemens, whose 8D support sits inside its large quality suites rather than a separate product. If something has changed, or we got your product wrong, write to info@teamguru.com and we will correct it.
Frequently asked questions
What is the best 8D report software for manufacturing?
It depends on what surrounds the 8D. For a full quality system with complaints, audits and a supplier portal, look at QMS suites such as QT9 or Omnex. For supplier claims, Supplios. For a low-cost template, Mitti. For AI that reuses past cases, SolveR. For the 8D next to your quality alerts, actions, tier meetings and KPIs, TeamGuru.
What does 8D software do that a Word or Excel form does not?
It gives every discipline an owner, a due date and an approval, shows which 8D is late where, lets the supplier work in the same report, and keeps every closed 8D findable when the problem comes back. The form records the 8D; the software runs it.
How much does 8D software cost?
Most vendors publish no price. Of the eight tools on this page, two show a number: Mitti (free for up to 10 seats, Premium $24 per seat a month, billed annually) and Supplios (from $1,000 a month). TeamGuru's 8D comes with the Enterprise and Unlimited plans, on quote. Checked on October 30, 2026.
Can suppliers fill in the 8D themselves?
In some tools, yes. Supplios is built around it, QT9 has a supplier portal for corrective actions, and in TeamGuru a supplier logs in with limited access and fills in the actions they own. Ask how many supplier logins you get and what they cost.
Does TeamGuru use AI to write 8Ds?
No. The 8D in TeamGuru is a structured report with owners, dates and approvals, and the analysis is done by your team. If AI drafting or cause suggestions matter to you, compare Omnex, Praxie and SolveR, and ask each to show what the AI read and who decided.
